Leave balances

Everyone's leave balances for HR, adjusting a balance, a person's own plan, importing opening balances or start dates, and exporting.

Who: HR, people with Approve absences. Approvers see a person's balance where they decide on their absence instead: what they have before and after it, and that rejecting frees its days.

Open Admin, then Balances under Absences. It lists people by name, with a column per absence type that has an allowance plan: the days each person may still ask for this year, in red below zero. A person icon means they are on their own plan. A warning sign means their absences in a later year need more days than that year will give; hover it to see how many. Search by name or email. Export downloads what is shown as a spreadsheet, one line per person and type.

To set up or correct someone's balances (their opening balance, an adjustment, or a plan of their own), click their name.

To do many people at once, use Import with a spreadsheet.

Someone added to your Jira after balances were set up may have no Joined on date. Until they do, their balance counts from the plan's start, as if they'd been there all along. A note above the list says how many such people there are, and Show them lists only them; Admin > Balances and People also get a dot in the sidebar. Set the date in their panel, or import it.

Admin > Balances: people with a column per absence type, one balance in red, a warning sign on another, and the Export and Import buttons.

As HR, on a site with two types that have plans, open Admin > Balances. Capture the table with a balance below zero and one with the later-year warning, and the buttons above it.

HR clicks a person to open their panel, with what HR works on: when they joined, and their Leave: their balances, and:

  • Adjust a balance: add days or take some away, for a type, counting from a day, with a reason (optional for an opening balance, their balance from before LogQuill). The dialog says what will change before you confirm. Sending it twice (a slow network, a double click) adds it once. Adjustments are listed with who made them, and are in the audit log, without the type.
  • Give an own plan: a plan just for them, for a type, from a day; or No balance; or back to their country's plan or the one for all countries. It comes before both. A change still to come can be called off. An own plan is named as such on their balance cards, in the Ask for time off form and in the approve dialog; with No balance, those say nothing is counted against it.

A person's panel with its Leave part: two balances, an own plan, and two adjustments, one an opening balance.

As HR, open Admin > Balances and click someone who has an own plan and two adjustments. Capture the Leave part of their panel.

Import from a file

Import brings in, from a CSV or Excel file with a header row:

  • Opening balances: person (their email, Jira account id or exact name), absence type (its name, in English or French for the built-in ones) and days (12.5, or -3 to take some away). Two columns are optional: balance counts from, the day the balance counts from (today when empty; their leave years before it don't change, so use the first day of the current year for a balance at the start of it), and reason.
  • Start dates: person and joined on.

The template names the columns in the app's language, the optional ones marked "(optional)". A file can use those names or the short ones (person, type, days, date, reason, start), in English or French.

Dates are YYYY-MM-DD or DD/MM/YYYY. Download a template gives a file with the right columns. Every line is checked first. The lines with a problem are skipped, and the others are imported together: the dialog names the first few skipped lines and why, and Download them with the reasons gives all of them, as written in the file, with the problem of each: nobody with that email, id or name; two people with that name; a deactivated account; an unknown type; no plan giving them a balance of that type, or their own plan giving them none; days that aren't a number; a date that isn't one. Fix those lines and import them again. Importing the same file again adds its balances once.

The Import from a file dialog with Opening balances picked, a file read, the skipped lines box naming two problems, and the lines ready to import.

As HR, open Admin > Balances, then Import. Pick Opening balances and choose a file where one person is unknown and one line has days written as text. Capture the dialog with its lines.
